Web FTP

The Web FTP (File Transfer Process) was implemented in January 2010 as a way to provide a more efficient and convenient method for securely sending and receiving applicant information. Each department has a directory in which to download information sent to them by the Office of Admissions, as well as a directory to upload information for the Office of Admissions.

It is important that each department/college have a representative or two with Web FTP access. More than one person should have access and be trained in the process. Departments are responsible for maintaining the security for each representative. Access to each of the needed directories must be requested by the department head of each department. Each department representative will need to have access to the following directory structure/path:

  • /heprod/data/admissions/graduate/in/domestic
  • /heprod/data/admissions/graduate/in/international
  • /heprod/data/admissions/graduate/out/________________________ (fill in your department code)

Web FTP Security Authorization Forms need to be submitted if you are requesting new access or changes to or removal of access. Completed Web FTP forms should be sent to ACS Security at fax number (801) 581-5877.

Here is a quick overview of how to use Web FTP.

  • Log into your Campus Information Services (CIS) account.
  • Start from the default "My Page" tab. On the left side of the screen, find the ACS File Transfer Section and then click on Web FTP Application.
  • A File Transfer window will open. The current directory listed at the top of the page should be /heprod/data/admissions/graduate/out.
  • Review the department list and select your department's code—it should be the only code you have access to in the "out" directory.
  • Once your department directory is open, you will see the items available.
  • Click on the name of the file to view it.
  • Do not copy or move the file to another directory as a means of saving it. You have the option to click the check box next to the item and select zip and download.
  • Please keep directories up-to-date by deleting files after you have accessed them. To delete, click the check box next to the file and select the delete button.
  • Log into your Campus Information Services (CIS) account.
  • Start from the default "My Page" tab. On the left side of the screen, find the ACS File Transfer Section and then click on Web FTP Application.
  • A File Transfer window will open. The current directory listed at the top of the page should be /heprod/data/admissions/graduate/out.
  • Select the "in" directory to which you want to upload the files from the drop-down. All departments have access to the directory, which means you will be able to see any files currently in the "in" directory. This is a function of how the program was written. All of these records are confidential across all departments, so please do not access any file that does not belong to your department.
    • Domestic Admissions: /heprod/data/admissions/graduate/in/domestic
    • International Admissions: /heprod/data/admissions/graduate/in/international
  • Drop files in the space indicated or click upload.

Tips

  • Make sure to delete any blank pages in the scanned document before uploading it.
  • Please use the following naming convention when saving your files: DEPT_UNID_LASTNAME
  • Log into your Campus Information Services (CIS) account.

  • File Transfer window will open. The current directory listed at the top of the page should be /heprod/data/admissions/graduate/out.
  • Review the department list and select your department’s code – it should be the only code you have access to in the “out” directory.
  • Once your department directory is open, you will see the items available.
  • Locate the document you want deleted.
  • Check the box to the left of the document you want to delete.
  • Click delete.
